AIMS centres offer ideal environments with a beautiful and ‘tranquil’ setting for scientific engagements with academics, industry and policy makers. These engagements could be in the form of workshops, conferences, seminars, symposium and scientific meetings. Delegates share advances in their research domains, design and conceptualize research-driven solutions to real-life issues from industry or government, network with peers and build partnerships.

The AIMS-NEI Scientific Events Initiative capitalizes on the AIMS’s Network potential to host and organize scientific events which attracts more than 50 participants worldwide. These scientific events expose students and in-country researchers to cutting-edge-research topics in their field of interest, to industry problems, to policy-type research among others. These events have the potential of promoting new research directions and agendas in the host country, and to foster partnerships.

As part of the AIMS-NEI Research Strategic objective, this initiative seeks to deepen the contribution of each AIMS centre within its host environment.

Through a match-funding mechanism, researchers or academic staff at AIMS centres can apply for seed-funds of up to $5000 (USD) to organize or host conferences or workshops.

Before starting the application process, kindly familiarize yourself with the “Terms of Reference” document. Staff from external organisations/institutions wishing to organize a scientific event at an AIMS centre can liaise with a representative at the AIMS centre who will act as the main applicant.

Eligibility

  • The main applicant must be an AIMS academic or research staff. Co-applicants could comprise of other stakeholders (academics, researchers, industry, and policy-makers) who may or may not be affiliated to the Network.
  • In instances whereby the main applicant is not part of the organizing committee, s/he can apply for seed funding on behalf of an external institution/organization.
  • The conferences and workshops must be hosted at an AIMS centre except agreed otherwise.
  • Preferred workshops or conferences should be international in scope, with a good mix of in-country and international participants.

Proof of match funding will be required before the disbursement of fund if this was not submitted at the time of submission.

Application process
Applications must be submitted online using the online application form at least 6 months before the event start date. A complete application should include the following documents attached to the online application form:

  • Seed funding application form,
  • proof of match-funding or related document demonstrating evidence of anticipated match-funding,
  • A cover letter which also justifies any gaps, and
  • evidence of confirmed or anticipated key speakers,

If applying on behalf of an external institution/organization (see above), kindly provide in a single pdf the following additional documents:

  • a signed letter from the institution/organization, and
  • a letter of confirmation from the host/main applicant at AIMS.

Applications will be evaluated by a Review Committee put together by the AIMS-NEI Director, Research. Priority will be given to conferences and workshops that also have tangible measurable benefits and are international in scope. The final selection will be made based on the following criteria:

  • novelty of the event theme,
  • confirmed or anticipated key speakers,
  • anticipated number of attendees,
  • relevance to AIMS and the host country,
  • proof or status of match-funding,
  • benefit of the event to young/emerging researchers including AIMS students/alumni and other African graduates,
  • potential contribution to solving a specific development problem in Africa,
  • level of involvement of non-academic institutions, etc.

An agreement will be signed with the main applicant, who will be the recipient of the funds.

All recipients/main applicants are expected to submit a narrative and financial report four weeks after the event’s end date using this “Reporting Template”.
